The Association’s Annual Meeting is held each year on the Saturday of Memorial Day weekend. This Meeting serves as both a “welcome back” for the summer season as well as the opportunity to vote for seats on the Board of Governors and approval of the proposed annual budget – including the tax mill rate. Sometimes additional voting is required if a special assessment (a one-time extra tax assessment to fund an expensive upcoming project) is required. You may remember such a special assessment vote in 2019 to fund the renovations to the Steel Pier.
Given that the meeting is on a holiday weekend, many members may have other plans and may not be able to attend the meeting in person. But it’s 2025 and we do have the technology to virtually be in two places at once through the magic of videoconferencing. And there are a variety of software solutions that can provide a secure method of voting remotely.
We have identified two remote voting platforms that appear to provide the required capabilities (unique voting credentials for access, one vote per property, access to voting in the same time window that in person voting happens, etc.). The next step involves you – the voter – to confirm that the platform is usable for you. We have members with a wide variety of technology skills and it is important to learn whether or not these solutions can meet end user requirements of usability and access.
You are invited to help test the candidate solutions with a targeted test day of Wednesday, February 5 @ 6:00pm eastern time.
We have a limited number of seats for testing the software and I want to ensure that we have reasonably broad representation of user types. Please use the Google form at this link (https://docs.google.com/ forms/d/e/ 1FAIpQLSeUAX12u6PzOKgIgp- qTbbcOm3J8vg9CViGBaVOll_ VY9mLAg/viewform?usp=dialog) to express your interest in testing. You will need to be comfortable with using Zoom and unmuting yourself and showing yourself on screen as this will be the method to ensure you are “present at the meeting”.
If you are uncomfortable with using the Google form or have trouble with it, please contact Colleen Chapin directly at bpbogchapin@gmail.com.
Thank you for your interest and willingness to kick the tires of a potential new process!
